How to Compare Freight Quotations Before You Book
Skystar Shipping Agencies ·
A freight quotation is only useful when you know what it includes. Before comparing two prices, make sure both offers cover the same cargo, equipment, route and delivery responsibility. A lower freight figure can still leave you with additional costs elsewhere in the movement.
Start with the shipment details
Give each provider the same origin, destination, commodity, package dimensions, gross weight and cargo readiness date. Include any temperature, handling or delivery restrictions at the outset.
Ask the provider to identify the equipment and service being offered. An estimate based on incomplete cargo information is not the same as a booking confirmed against your final shipment details.
1. Confirm where the service starts and ends
Check whether the quotation covers port to port, door to port, port to door or door to door movement. Provide the pickup and delivery addresses when inland transport is required.
For a door to door offer, ask who arranges each stage and what remains excluded. Do not assume that customs duties, taxes, inspections or cargo insurance are included simply because delivery is included.
2. Compare the charge breakdown
Request a written breakdown of freight, origin charges, destination charges and inland transport. Ask which surcharges are included, which are variable and which costs will be billed separately.
Check the currency, payment terms and validity date. If an item is described as payable at actual cost, ask what determines it and when the amount can be confirmed.
3. Check the routing and schedule
Ask whether the proposed movement is direct or involves transshipment. Confirm the planned departure, documentation cutoff, cargo cutoff and estimated arrival.
Treat an estimated transit time as a planning estimate rather than a delivery guarantee unless the agreement specifically provides one. If you have a fixed delivery deadline, make that requirement clear before accepting the offer.
4. Understand free time and container return
Ask for the applicable free time, how it is counted, when each period starts and the charges after it expires. Confirm the empty container return location and who arranges the return.
Maersk’s published terms distinguish demurrage for holding its container inside a terminal, port or depot beyond free time from detention outside those facilities. Combined arrangements also exist, and storage may be charged separately depending on the country.
Check the actual carrier and local terms for your booking rather than assuming every shipment follows the same structure.

5. Put special cargo requirements in writing
For pharmaceutical or other temperature-sensitive cargo, specify the required temperature range, handling conditions and monitoring requirements. For machinery or oversized cargo, provide dimensions, weight and lifting or securing requirements.
Ask the provider to confirm what it can accommodate before booking. A general freight quotation should not be treated as confirmation of a specialist handling plan.
Before you accept
Request a final written quotation showing the agreed scope, exclusions, validity, routing and responsibilities. Compare the complete movement, not just the freight line.
